How to approve or log leave on WhatsApp

Whether your employee asks you in person or via WhatsApp; we help you track it, log it, and keep the payslip accurate.

🗓️ Two ways to manage leave and sick days

With AskMandla, leave can be managed either way:

🟢 1. Employee-Initiated Request

Your domestic worker can request leave via this form, and you’ll be asked to approve or decline.

🟠 2. Employer-Initiated Log

If your employee asks you in person or via a call, you can log the leave yourself using this form. We’ll prompt you for the type, dates, and reason and take it from there.


Approving leave requested via WhatsApp

When your employee submits a request, you’ll receive a message like:

“Maria has requested 2 days of annual leave from 5–6 September. Do you approve?”

You simply respond:

  • Approve

  • Decline (with optional reason)

We’ll update their leave balance and reflect it on the payslip automatically.


✍️ Logging leave manually (if requested in person)

If your employee asked you in person, just send:

“Log leave” or “Add absence”

We’ll guide you step-by-step to:

  1. Choose the type of leave:

    • Annual Leave

    • Sick Leave

    • Family Responsibility

    • Maternity Leave
    • Parental Leave
    • Unpaid Leave
  1. Enter the start and end dates

  2. Confirm whether it's paid or unpaid

  3. (Optional) Upload any supporting documents (e.g. sick notes)

🤒 Sick leave: What you need to know

If logging a sick day, we’ll ask:

  • Did the employee provide a sick note?

  • Should the day be marked as paid or unpaid?

This helps you:

  • Stay within the employee’s paid sick leave quota

  • Avoid incorrect or untracked deductions

📎 Sick notes can be uploaded via photo (by either party).

Leave types are clearly itemised:

✅ Annual Leave Paid - balance reduced
✅ Sick Leave (with note) Paid -  balance reduced
⚠️ Sick Leave (no note) Unpaid or unauthorised
❌ Unpaid Leave Salary reduced
✅ Family Leave Paid (up to 5 days/year if eligible)
✅ Maternity Leave Unpaid - (4 Months) Claim from UIF
✅ Parental Leave Unpaid - (5 Days)Claim from UIF

  • You don’t need to wait for the employee to request via WhatsApp, log it yourself here if needed

  • Always note if the absence was authorised, paid, or covered by a doctor’s note

  • We’ll store every entry safely and reflect it correctly on the payslip
