Requesting a bank confirmation letter from your employee

Sometimes you may need proof that your employee’s bank account belongs to them, especially when setting up payment or making changes. Here’s how to ask for it, why it matters, and what to expect.

✅ What is a bank confirmation letter?

A bank confirmation letter is a PDF document issued by your employee’s bank that confirms:

  • Their full name

  • Bank name and branch code

  • Their account number

  • That the account is active

It must be:

  • A PDF (no screenshots or photos)

  • Less than 3 months old

  • Downloaded directly from their bank’s mobile app or printed in-branch

📌 We do not accept photos of bank cards, handwritten notes, or edited images.

🤝 When you should request one

  • When you're onboarding a new employee

  • If your employee wants to update their banking details

  • When there's a payment failure or mismatch

💬 Sample WhatsApp message to send to your employee

“Hi! Please send us a bank confirmation letter from your banking app (PDF format, not older than 3 months). This is to verify your account for salary payments. If you need help, message AskMandla with the words ‘bank letter help’.”

We’ll guide them step-by-step from there.

🔄 What happens after it’s sent

  1. The employee sends the PDF to AskMandla via WhatsApp

  2. We verify that the account details match the employee’s profile

  3. We update the account used for salary payments

❗ Why this is important

Getting the correct letter helps:

  • Prevent payments going to the wrong account

  • Avoid disputes or delays

  • Keep everything fully compliant and traceable
