How AskMandla protects confidential information if an employee loses their phone
AskMandla communicates primarily via WhatsApp. Because this may include confidential payroll and employment information, we follow a strict verification process when an employee loses or replaces their phone.
This policy protects:

🔐 Why This Matters
If an employee loses access to their phone, there is a risk that:

Payslips could be accessed by someone else

Banking details could be exposed

Identity information could be misused

Employment records could be shared without permission
For this reason, AskMandla will not automatically transfer access or resend documents to a new number.
🧍 What Happens If Your Employee Loses Their Phone?
If your employee informs you that they:

Lost their phone

Had it stolen
-
Changed their number
-
Upgraded to a new device
AskMandla will initiate a verification process before releasing any confidential information.
✅ The Verification Process
Step 1: Employee Notification
The employee must contact AskMandla from the new number and provide:

Full name

ID number
-
Employer name
-
Previous phone number
Step 2: Identity Verification
AskMandla may request:

A copy of the employee’s ID

A verification selfie or short video
-
Security questions
Step 3: Employer Confirmation (Critical Step)
Before we release any sensitive information, we will contact you to:

Confirm the employee has genuinely lost or changed their phone

Confirm the new number belongs to them

Approve restoration of access
No confidential information will be sent without your confirmation.
Step 4: Profile Update
Once verification is complete:

The employee’s number is updated
-
Access is restored
-
Documents may be resent where necessary
🛑 What AskMandla Will Not Do
To protect you and your employee, we will not:

Transfer profiles without verification

Send payslips to unverified numbers

Share banking details without employer approval

Accept verbal confirmation without written verification
Security overrides convenience.
🛡️ Your Responsibilities as an Employer
If contacted:

Respond promptly to verification requests

Confirm or decline release of information

Notify us if the employee is no longer employed
If employment has ended, we will not restore access without your instruction.
